WLBF Communication Steps
The Williams Lake Blue Fins Swim Club encourages open and respectful communication among families, swimmers, and coaching staff, with the goal of resolving
concerns early and constructively. Whenever possible, concerns should be addressed directly between the swimmer and the coach for problem solving.
Where a swimmer and coach cannot adequately resolve a concern, or if the swimmer wants a parent/guardian to be present, meetings should be arranged at a mutually
agreed upon time. Impromptu discussions on the pool deck or in office may not give adequate time or space for the problem-solving conversation to occur.
Step 1:
Swimmers – if you have a concern, tell your coach that you would like to talk to themand find a time that works for both of you. It’s important that you bring forward concerns as soon as they come up, as the solution may be super quick. Coaches are here to support you, but it’s hard for them to do that, if they don’t know you have a concern!
Parents – at this stage, we really encourage swimmers having a conversation with their coach. Your encouragement for them to have this conversation, which can be tough, is really appreciated. If it is big topic/concern, feel free to jump to Step 2 or 3. If your concern relates to the Code of Conduct, safety, or a Safe Sport matter, please
proceed directly to Step 3.
Step 2:
If the concern is ongoing or you need more information, email your coach. Coaches will generally try to respond within 48 hours. Email is best if you want to give heads up
information or are seeking information. Email is not great for discussing points of view on a topic.
Step 3:
If your concern is not resolved through Steps 1 or 2, email the Coach or Head Coach to request a meeting. The meeting should be scheduled for a mutually agreeable time so both parties can hear the concerns and work towards a solution. A solution may take a couple of meetings or check-ins. The goal is always to find a solution that will work for everyone. A WLBF Board Member may attend the meeting, at the request of either party to support the conversation.
Step 4:
If the concern remains unresolved after Steps 1 through 3, email the WLBF Board by sending an email to president@wlbluefins.ca. A meeting will be arranged between the
parent/guardian/swimmer and one WLBF Board member to hear the concern. The Board Member will prepare and present a summary of the issue to the Board of
Directors for review and resolution.
Step 5:
The Williams Lake Blue Fins Board of Directors will discuss the matter at the next scheduled board meeting. The Board may issue a decision or pass a motion directing
specific actions. All decisions made by the Board of Directors are final and binding.
